Outsourcing Administrative Assistant

Hooker & Holcombe Inc. is New England’s premier regional retirement consulting firm with 65 plus employees. The Actuarial Services unit has an immediate opening for an Outsourcing Administrative Assistant with a high school degree or equivalent experience preferably in the retirement plan industry. This position is based in our Bloomfield, CT office.

Tasks and Responsibilities:

Assist the Actuarial Services unit in processing pension administration tasks as follows:

  • Assist with Benefit Estimate and Distribution Requests for Pension Outsourcing plans including:
    • Saving files electronically
    • Mailing and uploading of documents to the participants’ records in the online portal
    • Updating Excel calculation logs
    • Updating participant data in data management system
  • Weekly review and correction of participant data updates for assigned clients.
  • Assist with recurring Participant Mailings.
  • Assist with the monitoring of required automatic payments/automatic IRA setups.
  • Assist with the due diligence process for locating missing participants and annual death audit.
  • Assist with the setup of new clients.
  • Assist with returned mail including scanning, updating participant record.

Job Requirements

  • High School graduate or equivalent experience with evidence of strong clerical skills
  • Detail oriented and a team player.
  • Strong oral and written communication skills.
  • Basic understanding of office machinery (copier, fax, printers).
  • Efficient use of Microsoft products including Word, PowerPoint and Excel. Must be proficient in setting up letters, tables, charts/graphs, and merge documents.
